How this site collects, uses and protects personal information, and what your rights are under the Protection of Personal Information Act (POPIA).

1. Who this policy covers

This policy applies to ContactDetails.co.za (“this site”, “we”, “us”). It explains what personal information we collect when you use the site, why we collect it, how long we keep it, and how you can exercise your rights under the Protection of Personal Information Act 4 of 2013 (POPIA).

This site is a directory of publicly published contact routes. We are independent of the organisations listed on it. This policy does not cover how those organisations handle your information — for that, read their own privacy notices.

2. Information we collect

Information you give us

If you complete the form on our contact page, we receive the name, email address and message you submit, along with the page reference if you provide one. We ask you not to send account numbers, ID numbers, card details, passwords or one-time PINs, and we do not need them.

Information collected automatically

When you visit the site, standard technical information is recorded, including:

  • your IP address (in most cases truncated or anonymised before storage);
  • your browser type, operating system and device category;
  • the pages you view, the order you view them in, and how long you spend on them;
  • the site or search engine that referred you;
  • approximate location derived from your IP address, at country or region level.

3. Cookies and similar technologies

Cookies and similar storage are used for two purposes on this site:

  • Necessary — to keep the site working, remember security state and serve pages efficiently through our content delivery network.
  • Analytics and advertising — to understand which pages are useful, and to serve advertising. These are set by third parties, listed in section 5.

You can block or delete cookies in your browser settings. Necessary cookies cannot be switched off without affecting how the site works.

4. Why we process your information

  • To operate and secure the site — serving pages, preventing abuse and diagnosing faults.
  • To answer your message — if you contact us, to reply and to act on corrections you report.
  • To improve the directory — understanding which listings people look for and where they cannot find what they need.
  • To fund the site — through advertising served by third parties.

We rely on your consent where you give it (for example, by submitting the contact form or accepting non-essential cookies), and otherwise on our legitimate interest in running and improving a functioning website.

5. Third parties who process data for us

The following services operate on this site and may receive personal information as part of doing so:

  • Google Analytics and Google Site Kit — audience and traffic measurement.
  • Google advertising services — serving and measuring advertising.
  • Jetpack and WordPress.com (Automattic) — site statistics, security, spam filtering and delivery of contact form submissions.
  • Cloudflare — content delivery, caching and protection against attacks.
  • WP Statistics — on-site visitor statistics.
  • Our hosting provider — storing the site and its server logs.

Some of these providers process information outside South Africa. Where that happens, we rely on the provider’s contractual safeguards and their own compliance frameworks for cross-border transfers, as contemplated by section 72 of POPIA.

6. How long we keep information

  • Contact form messages — kept while we deal with your query and for a reasonable period afterwards for reference, then deleted.
  • Analytics data — retained according to the retention settings of the analytics provider concerned.
  • Server and security logs — kept for a short period for troubleshooting and abuse prevention.

7. Your rights under POPIA

You have the right to:

  • ask what personal information we hold about you;
  • ask us to correct information that is inaccurate, irrelevant, excessive, out of date or misleading;
  • ask us to delete information we no longer have grounds to keep;
  • object to processing that relies on legitimate interest;
  • withdraw consent you previously gave, without affecting processing already carried out;
  • complain to the Information Regulator.

8. Complaining to the Information Regulator

If you are not satisfied with how we have handled your information or your request, you may complain to the Information Regulator (South Africa). Its current contact details are published on the Regulator’s own website, and we recommend confirming them there before making contact.

9. Security

The site is served over HTTPS and sits behind a content delivery network that filters malicious traffic. Access to the site’s administration is restricted. No website can promise perfect security, so please do not send sensitive personal or financial information through the contact form.

10. Children

This site is intended for a general adult audience. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we will delete it.

11. Links to other sites

Most pages on this site link out to the official websites of the organisations we list. Once you follow such a link you are on that organisation’s site, subject to its privacy policy, not ours.

12. Changes to this policy

We may update this policy as the site or the law changes. The date at the top shows when it was last revised. Material changes will be reflected on this page.
