A withdrawal from a provident or pension fund runs through the fund and its administrator, but it starts with your employer, and that is where most delays actually sit.

Who actually handles this

The fund, via its administrator, but only once your employer has certified that you have left. The fund cannot pay a withdrawal benefit before it receives the employer’s exit certificate, so a claim that has gone quiet is far more often waiting on the employer than on the fund.

What to do, in order

  1. Confirm with your former employer that it has submitted your exit or withdrawal certificate to the fund. Ask when.
  2. Complete the fund’s withdrawal claim form and choose what to do with the money.
  3. Submit certified copies of your ID and proof of your banking details. Uncertified or outdated documents are a very common cause of rejection.
  4. Expect a tax directive step. The fund applies to SARS for a directive before paying, and it cannot pay without one.
  5. Follow up on one reference number rather than lodging a fresh claim.

Fund, administrator, employer: who holds what

Your benefit statement names both the fund and the administrator, and carries your member number. Those three pieces of information answer most of what follows, and without the fund’s name an administrator often cannot locate you at all.

The scam to watch for

Be wary of anyone offering an advance against a pending withdrawal, or a fee to speed up a claim. Neither is a service the fund recognises, and both require you to hand over your identity and banking details. The fund pays into your own verified account and nowhere else.

If it is not resolved

The Office of the Pension Funds Adjudicator resolves complaints against retirement funds, free of charge to the complainant, and its determinations are legally binding on the fund. It will not take a complaint that has not been put to the fund first, so lodge with the fund, keep the reference number, and give it a reasonable opportunity to respond before approaching the Adjudicator.

Escalation works on evidence. Keep a short written log of every contact: the date, the channel you used, the name of the person you spoke to and the reference number you were given. Every formal complaints process asks for exactly that history, and having it ready is usually the difference between a fast resolution and starting over.
