The Companies and Intellectual Property Commission registers South African companies, close corporations, co-operatives and intellectual property. Its contact model is unusual and worth understanding before you start: CIPC does not publish a public customer telephone number. Everything is routed through an online enquiry system. Log the query through the enquiry system rather than hunting for a number. The reference it issues is what every later follow-up depends on, and CIPC works to published turnaround times measured in working days against that reference.

Services and responsibilities

CIPC handles company and close corporation registration and maintenance, annual returns, business rescue filings, liquidations, co-operatives, B-BBEE and domain name registrations, and intellectual property including patents, trade marks and designs.

Alongside the enquiry system, CIPC publishes process-specific mailboxes. Using the right one materially shortens the wait:

CIPC also publishes mailboxes named after its statutory forms – for example addresses corresponding to the CoR126.1 and CoR135.1 processes, and a complaints address tied to the CoR135.1 form. If your matter concerns a specific form, look for the mailbox carrying that form number.

For the E-Patent Journal, note CIPC requires the text part of an attachment in MS Word format rather than PDF. A submission in the wrong format is rejected rather than corrected.

Office and address information

CIPC does not publish a walk-in customer address or contact centre operating hours as part of its contact information. Filings, payments and tracking are done through its online channels, and the enquiry system is available continuously even though queries are worked during business hours.

A note on the CIPC service directory. CIPC publishes an extensive service-standards document listing named officials with their individual mailboxes as first and second level escalation contacts for each process. Those are identifiable individuals rather than service channels, and their addresses are not reproduced here. They also change as staff move posts, so a name captured from a directory is often stale. Use the enquiry system and the process mailboxes above, which are maintained.

Applications and escalation

CIPC operates a structured escalation ladder rather than a single complaints desk, and it is worth working through it in order:

Quote the original enquiry reference at every level. Escalating without it simply restarts the process. CIPC publishes target turnaround times per process – for example a 30 working day target for certain jurisdiction determinations – so check the standard applying to your matter before treating a delay as a failure.
